The Ultimate Exhibitor Content Checklist for UK Trade Shows
Most exhibitors walk away from a trade show with nothing more than a handful of blurry phone photos and a stand that took weeks of careful planning to design and build. This gap between the effort invested in the physical stand and the effort invested in documenting it is one of the most common, and most avoidable, mistakes we see across the UK exhibition circuit. Use this checklist to make sure your content is every bit as well-prepared as your stand.
Before the Show (4-8 Weeks Out)
- Confirm your content package and crew booking with your production team well ahead of the show date
- Prepare a detailed shot list covering product close-ups, team headshots, stand angles and signage
- Identify two to three team members who will be genuinely comfortable on camera for interviews
- Plan a short teaser post announcing your attendance, tagging the event organiser to maximise reach
- Brief your crew thoroughly on your key messages and any planned product launches
During the Show (Day of the Event)
- Capture footage in the first hour of the show while the stand is fresh, tidy and fully stocked
- Record short interviews with visitors and clients steadily throughout the day, rather than all at once
- Get same-day edited reels posted before the show closes for the day, while attention is still high
- Photograph any VIP visits, press interactions or particularly notable meetings as they happen
- Capture footage of any live demonstrations, talks or panel appearances your team is involved in
After the Show (First 30 Days)
- Request your finished highlight film and full photo gallery within five working days of the show closing
- Send your highlight film to leads collected during the show as a genuinely effective follow-up
- Publish testimonial clips to your website and LinkedIn, where they carry significant credibility
- Cut any panel or stage footage into short, standalone clips suitable for ongoing posting
- Review honestly what worked and adjust your shot list accordingly for your next show
Why a Checklist Alone Isn’t Enough
A checklist only works if you have the right crew actually executing it on the day. Many exhibitors write excellent plans that fall apart under the pressure and pace of a live show floor, simply because nobody on their team has the capacity or experience to follow through consistently while also managing visitor conversations and stand logistics.
Don’t Leave This to Chance
Ehre Productions builds this exact process into every exhibition package we deliver, ensuring nothing on this checklist gets missed regardless of how busy your stand becomes on the day.
