Graduation is one of the busiest days in a university calendar. Thousands of graduates, parents and friends arrive within a short period, and every part of the event needs to run on time. Around a month before the University of Brighton graduation ceremonies, Ehre Productions was approached to deliver a photography activation where graduates could have professional photographs taken and purchase their images on the day. The project wasn’t simply about setting up a photo booth. It required weeks of planning, testing and coordination to ensure the experience worked from the moment the first graduate arrived until the final ceremony ended.
Across the event, more than 10,000 graduates, family members and friends attended, with around 3,000 to 3,500 people arriving each day. Despite the volume of visitors, the activation ran without a single operational issue.
How We Planned Things Before the Event
Once the project was confirmed, the focus shifted to planning rather than equipment. The University wanted graduates to be able to purchase their photographs during the event, so the workflow had to be simple, reliable and quick.
Before arriving on site, the team completed:

Every System Was Tested Before Going Live
The activation relied on several systems working together. Before the event, the team tested:

- Print quality
- Power requirements
Backup printers and spare equipment were also prepared so the team could continue operating immediately if any hardware failed. Fortunately, none of the backup equipment was needed.
An 8 AM Start with Thousands of Visitors
Operations began at 8:00 AM. Throughout the day, graduates arrived with parents, relatives and friends to celebrate one of the biggest milestones of their lives. The photography activation remained busy throughout the ceremonies, with thousands of visitors using the service and purchasing their photographs. Because every process had already been tested, the team could focus on helping customers instead of solving technical problems.
Working Alongside Local Students
The project also involved working with local students. Ehre Productions provided training before the event, helping student staff understand the equipment, customer process and day-to-day operation. Having trained support on site helped keep the visitor experience smooth throughout the event.
Selling Images Was Part of the Brief
One of the University’s requirements was to sell printed photographs during the graduation ceremonies. To make this possible, Ehre Productions configured the online payment system before the event and tested every part of the purchasing process.
Graduates could purchase their photographs quickly without slowing queues or affecting the overall experience.
